Time off, attendance & expenses

Plan time off in advance, log every hour worked, and submit expenses on a clean cadence so coverage and reimbursement are never delayed.

Requesting paid time off

  • Submit PTO requests at least 2 weeks before the start date
  • Use the HR system — never approve your own time off in calendar
  • Single days off still require a written request, even if approved verbally
  • Once approved, post a coverage note in your department Space
  • Set an out-of-office in Gmail and Calendar before you leave

Sick days & unplanned absence

  • Notify your manager by 7:30 AM via Google Chat or phone
  • Log the absence in HR the same day you return
  • More than 3 consecutive days requires a doctor's note
  • Do not log into HubSpot or email while on approved sick leave
  • If you cannot reach your manager, message your department head

Out-of-office is a shared responsibility

Before any planned absence, name a coverage person, hand off open HubSpot tasks, and update your Calendar and Gmail auto-responder. The company keeps running; your work should not stall while you are away.
